Who may apply?
Coordinators or members of the Italian research teams involved in Mobility Projects listed in the Executive Programmes of Scientific and Technological Cooperation may apply to receive tickets to visit the partner country.
How to apply
Applications must be submitted through the website https://ricercatori.esteri.it at least 35 days before the scheduled departure.
When to apply
Each year, once the Executive Programmes come into effect, an email is sent to the Project Coordinators specifying the date from which applications may be submitted. If the Executive Programmes and the projects enter into force at the beginning of the year, applications can be submitted starting from mid-January. Unless otherwise stated in the aforementioned e-mail, applications should be submitted no later than October 15th.
When is it possible to travel?
For administrative reasons, research visits cannot take place before the end of February. Further information will be provided in the aforementioned e-mail. Research visits must be completed by December 31st.
Which documents and data are needed?
As specified in the online application, the following data are required:
- Project code sent by email to the Italian Coordinator,
- Researcher’s personal data and project details,
- Letter of invitation signed by the foreign Project Coordinator indicating the dates of the research visit (upload as pdf file),
- Authorization of the Italian Coordinator (if the applying person is not the Project Coordinator),
- Brief resume of the researcher,
- Researcher’s commitment to bear the costs of the tickets in the event of cancellation of the trip.
The researcher must indicate the date of departure, the date of return and the duration of stay. The researcher’s personal data (name, last name, date and place of birth, nationality) must match in full those on the passport/I.D.
How many research visits can researchers undertake, and what it the maximum duration for each visit?
The number of research visits allowed per year, the duration of stays abroad and other general provisions for research exchange visits are set out in each Executive Programme (https://www.esteri.it/it/diplomazia-culturale-e-diplomazia-scientifica/cooperscientificatecnologica/programmiesecutivi/accordi_programmi_culturali_tecnologici/). Unless otherwise stated in the Executive Programmes, there are two types of research visits: short-term stays (up to 10 days) and long-term stays (30 days). Applicants must indicate the number of days and the date of beginning of their stay in their application. Some Executive Programmes allow the researchers to combine the short and the long-term stays into a single, extended visit.
How will you be informed of the outcome of your application?
Applications are approved based on the availability of funds. The successful applicants will be contacted by e-mail in order to arrange the issuance of their tickets. Tickets can be purchased by the Ministry of Foreign Affairs or by researchers themselves within the limits of the quotation provided by the travel agency contracted by the Ministry. Tickets will be issued in Economy class. In case flight duration exceeds ten hours (including stopovers), tickets will be issued in Premium Economy class In the event of cancellation of the trip or changes of the travel plans, after the tickets have been issued, the researcher should notify the relevant travel agency and bear all the change costs and penalties or, in case of no show, refund the travel agency for the whole amount of the ticket.
At least a month before the starting date of the visit, researchers will also receive by e-mail, a letter of authorization to the research visit. If a Visa is requested to entry the foreign country, the letter of authorization may be used to obtain it.

What do you need to do at the end of the research visit?
Unless otherwise stated in the relevant Programme, a copy of the boarding passes and a report in pdf format on the activities carried out during their stay must be sent by mail to dgce11.mobilita@esteri.it within one week from the conclusion of the stay. Please be advised that failure to send the report will result in the ineligibility to submit further applications within the same project for the following year.
