Italian researchers mobility: applying for travel tickets

Italian researchers (coordinator or members of joint research team in Mobility Projects scheduled by the Executive Programmes of Scientific and Technological Cooperation) may apply on-line to the Italian Ministry of Foreign Affairs, Direzione Generale per la Promozione del Sistema Paese – Unità per la Cooperazione Scientifica e Tecnologica (UST), in order to get tickets for travelling to the project partner country.

The whole procedure has to be completed on-line.

Applications may be submitted from January 15th until October 31st . The application must be submitted at least 45 days before the scheduled research visit.

For administrative reasons, the research visits can take place only after March 1st and must end by December 31st.

As specified in the on-line application, the following data are required:

  • The project’s code received by email by the Italian coordinator
  • Researcher’s personal data, including complete address, post code and city, and project’s details
  • Letter of invitation by the foreign project coordinator mentioning the dates of the research visit (uploaded as pdf file)
  • Authorisation of the Italian coordinator (if the applying person is not the project coordinator)
  • Short researcher’s CV
  • Declaration of responsibility stating that, in case of cancellation of the trip, due to any reason, the applicant will bear all the costs related

The number of research visits allowed per year, the length of the stay, the allowance for researchers and general provisions for research exchange visits are established by each Executive Programme.

The applicant will specify the date of departure from Italy and the date of departure from the foreign Country for coming back to Italy. The researcher’s personal data (name, last name, date and place of birth, nationality) must be complete as they appear on the passport/I.D. that the researcher will carry when travelling.

The applications are approved according to the availability of funds. Tickets are purchased directly by the Ministry of Foreign Affairs: there are no refunds for tickets purchased personally. Tickets will be issued in economy class only. After the approval, about one month before the departure date, the successful applicants will receive by email all the information they need for booking the travel tickets for the research visit.

Please consider that the Ministry of Foreign Affairs is responsible only for purchasing the tickets. Therefore, in the event of cancellation of the trip or changes of the travel plans, after the tickets have been issued, the researcher should notify the travel agency which issued the tickets (and inform also the UST by emailing at ricercatori.italiani@esteri.it). Moreover, the researcher must bear all the related costs and penalties or, in case of no show, he/she must refund the travel agency for the whole amount of the ticket.

Within 7 days after the end of the research visit, the researcher must send the boarding cards, as .pdf or .jpg file, to the e-mail address ricercatori.italiani@esteri.it.

Unless otherwise stated in the relevant Programme, the researcher must send a report about the activity carried out within 15 days after the end of the research visit.

The report has to be signed by both the researcher and the foreign coordinator of the project and must be sent by email to ricercatori.italiani@esteri.it as a .pdf file.
